Privacy policy

This policy explains what personal data the militarymedicine.com service collects, why we use it, who receives it and what rights you have. We collect only what we need to run the calculator, the match request and representative accounts, and we never sell your data.

Who is responsible for your data

The administrator of the militarymedicine.com service is responsible for your personal data. You can reach the administrator at [email protected] about any privacy question or request.

Data we collect

We collect data you give us and a small amount of technical data.

  • Your email address
  • Your role, veteran or representative
  • Your state, if you choose to give it
  • Your claim stage, if you choose to give it
  • Conditions and ratings you choose to send with a match request
  • A hashed form of the 6-digit confirmation code
  • The page or campaign that brought you to us (source and UTM tags, referrer)
  • Your IP address
  • Technical logs, such as time of access and errors

For representatives with a subscription we also keep profile details, accreditation details and billing records. Card details are handled by the payment operator, and we do not store full card numbers.

The calculator runs in your browser. The conditions and ratings you enter there stay on your device unless you choose to send them with a match request.

Why we use your data

  • To confirm your email address with a code
  • To send you your checklist, your representative matches and service emails
  • To pass your match request to the representatives you choose
  • To run representative accounts, subscriptions and accreditation checks
  • To keep the service secure and prevent abuse
  • To understand which pages help people, in aggregate
  • To meet legal obligations, such as tax and accounting rules

Where data protection laws require a legal basis, we rely on your consent (for example, when you send a match request with your conditions), on the need to perform a contract (for example, a representative subscription), on our legitimate interests in running and securing the service, and on legal obligations. You can withdraw consent at any time, which does not affect earlier processing.

Who receives your data

We share data only with recipients that need it to provide the service. We name them by category.

  • A hosting provider in the US or EU that stores the service and its data
  • An email delivery provider that sends confirmation codes and service emails
  • A payment operator that processes representative subscriptions
  • The accredited representatives you choose to receive your match request
  • Public authorities, only when the law requires it

We do not sell your personal data and we do not share it for cross-context behavioral advertising.

Cookies

We use only necessary cookies, such as a session cookie and a security cookie that protects forms. We do not use advertising pixels or advertising cookies, so there is no cookie banner. Any traffic statistics we keep are aggregate and do not use advertising cookies.

How long we keep data

We keep your data only as long as we need it. Unconfirmed signups are deleted after a short period. Match requests and account data are kept while your account is active and for a limited time after, unless you ask us to delete them sooner. Billing records are kept for the period that tax and accounting laws require. Technical logs are kept for a short period for security.

Your rights

Depending on where you live, US state privacy laws and, where it applies, the EU General Data Protection Regulation (GDPR) give you rights over your data.

  • Access: ask what data we hold about you and get a copy
  • Correction: ask us to fix data that is wrong
  • Deletion: ask us to delete your data
  • Objection: object to processing based on our legitimate interests
  • Portability and restriction where the law provides them

To use a right, email [email protected] from the address you used on the site. We may ask you to confirm your identity. We do not treat you differently for using your rights. If you are in the EU, you may also complain to your local data protection authority.

Children

MilitaryMedicine is for adults. It is not for people under 18, and we do not knowingly collect data from them. If you think a minor has sent us data, write to us and we delete it.

Security

We protect data with encrypted connections, hashed confirmation codes, access limited to people who need it and regular updates. No system is perfectly secure, so we also keep the data we collect to a minimum.

Changes to this policy

We may update this policy when the service or the law changes. The date at the top shows the latest version. For important changes, we tell account holders by email.
